Brief description of our Day Centre.

St Luke’s Eccleshill Day Centre aims to provide a service for elderly clients who are at risk of social isolation and who would otherwise not get out and see people or take part in community activities; and a respite for their carers. To that end we provide transport, a hot cooked meal, and a social programme on one day each week.

The Day Centre meets on Tuesdays in the “narthex” (the glassed-in area at the back of St Luke's Church building). Transport on a hired minibus is provided to and from the Day Centre: clients are given a hot drink when they arrive, there are some armchair exercises in the morning, a cooked lunch is provided by outside caterers, there is a programme of activities or entertainment, and some time for socialization and chatting with others. We can cater for up to 25 clients, and priority is given to those who are infirm and otherwise would find it difficult to get out of their houses and meet people. We have a team of volunteers who help in various ways, escoring clients on the minibus, making and serving cups of tea, and serving lunch.

The Day Centre is funded by Bradford Social Services, who determine the terms of our contract and a specification for the service we provide. This funding covers the employment of a Coordinator, who is responsible for the running of the Day Centre in such a way as to satisfy this specification.

The programme also includes occasional trips and outings, and transport is provided for these; however, we have to fund these separately or make them self-financing.

The Day Centre is open to clients of retirement age and above, and to all irrespective of race, religion, gender or ability/disability. Although there is sometimes some Christian content to some of the programme and entertainment, there is no pressure on anyone to hold any particular religious views or take part in any activities.
 

Terms and Conditions of Employment:

Job Title: Day Centre Coordinator

Location: St Luke's Church, Eccleshill

Date Commenced: TBA

Salary: The post will be remunerated according to Band 2 (spinal points 11 to 15) of the Vountary Sector Bands, as notified to us by Bradford CVS. The exact spinal point is to be arranged, and will take account the postholder's qualifications and experience.

Pension: The post carries no arrangements for or entitlement to a pension.

Hours of Work: 10 hours per week. Some flexibility from week to week is acceptable. The hours include attendance at St Luke's Church 9.30am-3.30pm on Tuesdays when the centre is open.

Place of Work: St Luke's Church Eccleshill and home

Holiday Entitlement: 4 weeks with pay, one of which is the week between Christmas and New Year. Up to 2 may be taken together.

Sick Pay Entitlement: Statutory Entitlement

Discipline procedure: 1st a request from the vicar, 2nd a verbal warning (recorded by the vicar), 3rd a written warning, 4th a final written warning, 5th dismissal. Vicar must inform the PCC Personnel Committee of 2-5. The employee handbook will contain further details.

Appeal against Discipline: Appeals will be handled by the PCC Appeals Committee (which consists of different people, so that it is impartial at the point of becoming involved).

Grievance Procedure: 1st mention any problem to the vicar, 2nd take it to the Day Centre Committee. If still unhappy appeal take it to the Appeals Committee.

Notice from employer: one week per year served up to a maximum of 4 weeks.

Notice from employee: four weeks.

Security of Premises: Church to be left secure in accordance with notice on vestry door. Keys to be kept in a safe place.

Job Description: To be reviewed and agreed by vicar and postholder. To be reviewed annually thereafter.

The above is a brief summary. An employee handbook will be issued to the postholder.
 

Job Description for Day Centre Coordinator

1. To run a Day Centre at St Luke's Church in the Narthex on one day a week as agreed, so as to conform with the Social Day Care Specification as issued by Bradford Social Services and with any directions agreed between the postholder and the Day Centre Committee.

2. To make all preparations and arrangements to ensure the smooth running of all aspects of the Day Centre:

  • Arranging transport for clients to and from the Day Centre.
  • Ensuring a cooked meal is provided and that food hygiene is observed.
  • Planning and delivering a programme of activities, and inviting any speakers or entertainers.
  • Planning social activities for special events (e.g. birthdays)
  • Planning occasional outings if funds permit.
  • Interviewing clients and potential clients and preparing and reviewing and updating their care plans.
  • Managing the volunteers and helpers, including handling their CRB checks, and making sure they are inducted and trained as necessary.
  • Ensuring money for meals and transport and any other expenses is properly handled.
  • Ensuring that the premises (including kitchen and fridge) are left clean and tidy.
  • Clerical work as necessary.
  • Ensuring correct procedures are followed in the event of any emergency or accident.
  • Leading the Committee in meeting level 1 of the PQASSO scheme.

3. To visit elderly people in the community:

  • Clients who need individual attention,
  • Referrals of possible clients from Social Services and other sources.

4. To attend in-service training and meetings of coordinators' groups as appropriate, and to liaise with other groups who are providing the same service so that different groups can cooperate not compete. To attend Day Centre Committee meetings as required, and report to the Committee on any issues of good practice which the Day Centre should adopt. To keep the vicar informed of any day-to-day issues which need airing.

Notes to the Coordinator's job description.

(1) As from August 2003, the Day Centre operates on Tuesdays.

(2) The contract is between Bradford Social Services and St Luke's Eccleshill PCC, but the PCC has delegated its powers to make decisions to the Day Centre Committee. The specification includes the following points:

  • the Day Centre is to provide social contact, a cooked meal, and interesting and varied activities for clients;
  • 25 places to be available;
  • core times of five hours per day, 1 day per week, at least 48 weeks per year;
  • clients to be visited and assessed before attending, and a care plan drawn up,
  • care plan to be reviewed at least annually and if client's circumstances change,
  • quarterly reports to Social Services,
  • suitable, safe & comfortable transport to be provided.

(3) The following is a rough timetable of what needs to happen each week:

  • Arrive, open up, set up.
  • Brief bus driver & escort as to clients to be collected.
  • Ensure cutlery & crockery is clean etc.
  • Provide cup of tea for clients as and when they arrive. (from ~10am)
  • Armchair Exercises or other Activities / Social time.
  • Chance to update care plans and paperwork etc.
  • Cooked Lunch. (~12.30pm)
  • Main programme of activities. (~1.15pm)
  • Tea & Biscuits, celebration of any birthdays etc.
  • Clients depart. Clearing up and tidying.
  • When all have left, secure premises and depart.

The above occupies at a minimum 9.30am to 3.30pm (6 hours) of the Coordinator's working time. The other 4 hours may be worked flexibly at the Coordinator's discretion.
 

Person Specification for Day Centre Coordinator

The following characteristics are essential for the postholder:

  • respect for the clients, enjoyment of working with the elderly, determination to do the best for those who attend.
  • respect for and cooperation with the Christian ethos of the Day Centre,
  • willingness to work as a team member with the clergy, lay officers of the church, and volunteers at the Day Centre,
  • ability to manage volunteers,
  • already holding a food hygiene qualification or prepared to obtain one as soon as possible,
  • already holding a basic first-aid qualification or prepared to obtain one as soon as possible,
  • competence in administration: organizing transport and meals and programme, keeping records, etc.
  • willingness and competence in visiting prospective new clients and drawing up care plans as detailed by the Social Services specification,
  • willingness to manage the process of CRB checks on volunteers and undergo training if needed,
  • willingness to learn about the PQASSO Quality Assurance scheme.

The following characteristics are desirable for the postholder:

  • a flair for conducting a programme of activities and entertainments, and lots of ideas of how to provide lively and stimulating input for the client group,
  • current driving licence and car,
  • further qualifications on food-hygiene and first aid,
  • qualifications in and willingness to conduct appropriate exercise sessions for the client group,
  • imagination as regards menus, appropriate trips to organize, etc.,
  • computer skills to assist with administration, producing programmes and information etc.,
  • experience of handling CRB checks,
  • experience with level 1 of the PQASSO Quality Assurance scheme.

NB. Eccleshill Church has adopted Bradford Diocese's policy on Criminal Record Bureau checks on its staff and volunteers. References will be taken up and basic checks will be made to ensure the bona-fides of referees.
